LUXE asked us to design a scalable, responsive, fast employee scheduling tool.
We said sure.
September 2017 - Luxe is acquired by Volvo to enhance its digital services group
April 2016 - Luxe raises $50 million in Series B
What once was an 8 hour task is now 20 minutes.
The administrator is responsible for scheduling hundreds of employees across multiple sites while balancing valet demand.

Pain points for Valets:
Valets have forgotten passwords with Luxe and WIW
All valets know all other valets passwords
Valets have to carry 2 phones, Luxe phone and personal phone.
Valets have to punch in on both the valet app and the WIW app in some cities. This leads to truancy when there isn’t.
Too many notifications to be useful (in 2 days I have 150+ notifications)
Current pain points for Admin:
Undoubtedly, there are more pain points on the Administration side than on the valet side. Here are the pain points that I have learned so far and which are deal breakers.
Currently, When I work has a cap on the number of employees per account. Luxe has exceeded that # by 4x in SF alone. Therefore, there are 4+ accounts just for SF and more for each location.
SFleads requires a separate Google Sheet document to schedule since this group spans names and roles.
When a valet drops a shift the shift does not move to available it moves to a Waiting status.
An Administrator will need to add the valet to multiple systems (Birdseye, Ghetto Admin, WIW, Intuit Workforce)
Valets are able to clock in outside their area for their first shift.
Valets are able to clock in without having a shift - just want to make it clear that they are able to clock in on the valet app, but unable to clock in on WiW. So it’s more of a communication issue between both apps.
Valets are able to schedule >40hrs and can be subject to overtime.
Small shifts are not clickable because the three buttons don’t show up.
Bonuses and shifts appear to be separated from specific shifts in the system.
Kelda has to manually push the button to release shifts vs. scheduling the release of a shift.
Removing valets requires deleting valets from multiple systems
